Create and manage health checks for alliances

The Health Check feature provides structured support for conducting health checks in alliance management.

Required user role: Manage/Contributor

Regularly assess the status, performance, and alignment of your alliances, and get a consistent framework for identifying strengths, addressing risks, and tracking improvements over time.

What's inside health checks

Inside each health check, you will find:

  • The status: Draft, Ongoing, Closed. 
  • A link to the related alliance.

    Learn more about alliances in Deal.

  • The health check owner.
  • A Details section with the start date, due date, and a description field.
  • A Settings section to set up your health check preferences.

Health check statuses

There are three possible statuses: Draft, Ongoing, and Closed.

You can only move forward with statuses, meaning going from Draft to Ongoing (or Closed), and from Ongoing to Closed.

The content of the health check page evolves depending on the status.

  • Draft

The Draft phase is when you set up the questions that participants will answer during the health check.

  • Ongoing

The Ongoing phase is when the health check is open for participants to submit their answers. At this point, you can view the answers that have already been submitted.

You can also monitor the number of people who have already submitted their answers and send a reminder to those who haven't.

Click the Add participants button to see the details of who participated. If the survey is anonymous, you won't see the participation status.

  • Closed

The Closed phase occurs automatically when all participants have responded (if this setup was selected in the settings), and participants can no longer edit or submit answers. 

You can view the number of responses and export the results.

Important: You cannot reopen a closed health check.

Create health checks

You can create a health check either from the navigation bar or from the health check hub. Click the Create button, and a pop-up will open.

Click Alliances and enter the name of the alliance you want to attach the health check to. Select the alliance in the list, and click Confirm.

A new health check page will open. 

Enter the name, due date, and description of the health check. These fields are mandatory to fill out before publishing the health check.

Set up questions

You can either use a template, reuse questions from a previous health check, or create new ones from scratch.

  • To use a template, click the more option menu, and select Create from template.
    See Manage templates for health checks and evaluations.

    A pop-up will open where you can select the relevant template.
  • To reuse questions from a previous evaluation, click Copy from previous assessment. A pop-up will open, select one of the existing assessments, and click Confirm. The questions will appear on the new health check page. You can then edit, reorder, duplicate, or delete them.
  • To create new questions from scratch, click Add question. A new blank question will appear. You can then:
    • Enter the question title.
    • Choose the answer system:
      • Scale: Define the scale range and denomination of the lowest score to the highest score. You can allow participants to add comments as well.
      • Choice: Enter the possible answers and choose if you want it to be a single or multiple choice. You can allow participants to add comments as well.
      • Text: There is nothing to set up here; a simple text field will appear once the question is published.

        Important: Changing the answer system resets the answer parameter. If you set up a question's answers and then change to another answer system, your previous setup will be lost.

        Once the question format is set up, you can make it required, duplicate it, or delete it.

Choose the health check settings

  • Make anonymous: Participant names will be hidden next to the scores.
  • Show details (toggled on by default): All participants will be able to see the due date and description.
  • Show answers as they come in: Answers will be visible to all Manager users while the assessment is ongoing.
  • Close assessment automatically: The assessment will be closed once all participants have responded.

Invite participants

On the health check page, click Share. 

A pop-up will open. You have two options to share the health check.

Only people invited
To share the health check with people who are Deal users or registered contacts in Deal.

Select Only people invited, enter the names of the participants, pick them in the drop-down list, and click Confirm.


The selected people will receive an email notification. They will have to click Go to assessment in the email. Then, they will either have to enter their credentials on the login page or they will automatically be logged into the platform if they're already connected, and they will land on the health check page.

Anyone with the link
To share the health check with people from the companies involved in the alliance but who are not Deal users or registered contacts in Deal.

Select Anyone with the link and enter the domain names of the other parties involved in the alliance. Click Copy link and paste it wherever you want to share it (an email, a shared communication tool, etc).

  1. People who have access to the link will have to click it, and they will land on a page inviting them to sign up for free for Deal. They will have to enter their email address, check the Inpart privacy policy box, and click Continue.
  2. They will then receive an email. They will have to click Access the assessment. 
  3. After that, they will be directed to the login page of the Deal health check feature. They will have to enter their first name, last name, select their company, and click Continue to register on the platform. They will then finally land on the health check page.

Important: External people who register on the platform to participate in a health check are automatically created as external contacts in Deal.

For Deal users who are invited to participate in several health checks, they can follow up with their submissions in the health check hub by selecting the Participate label. They can see their participation status for each health check and the due dates.

Send reminders

Send email reminders to participants who haven't participated in the health check yet.

Open the health check you want to edit, click the more option button, and select Send reminder. All participants who haven't finalized their submission will receive an email notification.

If a reminder has already been sent, you can see when in the more option menu.

Edit health checks

Required user role: Manager.

Important: You can only edit ongoing health checks, and participants will receive an email notification every time the health check is modified.

Open the health check you want to edit, click the more option button, and select Edit Assessment. You can edit the due date, the description, the questions, as well as the shared files and emails.

Restrict access to health checks

Required user role: Manager with access to the related alliance in Deal, and/or owner of the health check.

You can choose to grant access to a health check to a restricted number of users. These users must have access to the related alliance in Deal as a prerequisite.

In the health check page, click Manage access.

Then, click Restrict access.

Duplicate health checks

Open the health check you want to duplicate, click the more option button, and select Duplicate. A new page with the duplicated health check will open. The title will display (Copy) at the end. You can rename it the way you want.

All questions, settings, and participants are kept in the newly duplicated health check.

Filter health checks

You can use the search bar to search for a specific health check. In this case, only the health check titles are being searched.

To search and filter multiple health checks, go to the health check hub, and click Filter.

A filtering panel will open. 

Click the filter you want to apply and select the values. 

Finally, return to the list of filters and click Apply filters.

Click Clear to remove all the selected filters.

Export health checks

Export health checks' general information

To report on all health checks related to your existing alliances, go to the health check hub and click Export.

A pop-up will open. 

To export the general details of the health checks to a simple Excel file, select No template, all columns. To export the health checks with the score and number of participants to a specific template made for pharma alliance health checks, select Health Check Inpart Standard Export Template.

Export the results of a specific health check

To export the detailed results of a single health check, open the health check (with an Ongoing or Closed status) and click Export.

Select the default Word template and click Export.

Delete health checks

Important: Ongoing health checks cannot be deleted.

Open the health check you want to delete, click the more option button, and select Delete. 

A confirmation pop-up will appear. Click Delete.

Notifications

Here's the list of the email notifications sent by the platform:

  • When Deal users or registered contacts in Deal are invited to participate in a health check.
  • When users have submitted their answer to thank them for their participation.
  • When the status of a health check you own has been updated.
